Reconcile the inventory against what is actually on the network

An inventory typed from purchase orders drifts from the day it is finished. A discovery pass, agent-based or a scan of the address ranges, finds what is answering on the network, and the difference between that and the register is the list of unknown devices. Record issue, return, transfer and disposal against each line as it happens

The register stays true only if the movement is recorded when the laptop changes hands, not at the annual count. ITAM software should hold the issue and return with a date, keep the disposal with its data-wipe record, and count seats against people so a leaver's licence is released rather than paid for another year.

What is the difference between IT asset management and software asset management? IT asset management covers every device and licence the organisation holds through its life from purchase to disposal. Software asset management is the licence half of it: the seats bought, the seats in use, and the gap between them, which is where a small organisation either overpays or fails an audit. In a small company they are one register with two views.

How often should the inventory be reconciled against the network? For federal agencies the answer is set by CISA's Binding Operational Directive 23-01: automated asset discovery at least every 7 days. A small organisation with no directive over it has no fixed interval, but a discovery pass before each monthly or quarterly close, reconciled against the register, is what keeps the unknown-device count near zero.

Do I need an agent on every device, or is a network scan enough? A scan finds what is on the network at the moment it runs; an agent reports a device wherever it is, including the laptop at home.
