Decide what goes on the register and what is expensed

A register that carries every stapler is a register nobody maintains. The first decision is the threshold: assets above it are filed with a cost, a life and a depreciation line; below it they are expensed and, if they walk, tracked as equipment without a book value. The threshold is yours to set with your accountant; the register software has to hold it and apply it consistently.

The software should move the depreciation on each month or quarter without a spreadsheet being reopened, and should keep every transfer, disposal and physical count against the line with its date. What is the difference between asset management software for small business and an inventory system? An inventory system counts stock the business sells and expects to turn over. Asset management software keeps the register of things the business owns and uses: the laptops, the furniture, the vehicles, the machines, each with a cost, a life and a book value. A shop needs both; most small companies need the register and think they need the stock system.

Does a small business need to depreciate its assets in the software? If the books are kept on an accrual basis and assets are capitalised, yes: the depreciation each period is what turns the cost into an expense over its life, and the book value is what the balance sheet shows. Software that keeps the register but not the depreciation leaves the accountant rebuilding the schedule every year.

How often should the register be physically counted? Organisations holding equipment bought with federal funds are required to take a physical inventory and reconcile it to the property records at least once every two years, under 2 CFR 200.313. A small company with no grant funding has no rule, but an annual count against the register is the one most auditors and insurers expect to see, and the software should record what was found and what was not.
