What is an asset management system: what the phrase means for a small organisation's register, what the system keeps, and what the enterprise and investment meanings are not

What is an asset management system is a question with three honest answers, and the search results mix them. To a fund manager it is the platform that runs a portfolio of securities. To a plant or infrastructure manager it is enterprise asset management, the standard for which is ISO 55000, with work orders and condition data attached to every pump. To the owner, bookkeeper or IT manager of a small organisation it is the register of what the organisation owns, kept with a holder and a location on every line, a history of every change, a count against it and the depreciation run each period. This page answers the question in the third sense, and says plainly where the other two begin so nobody buys the wrong thing.

The register, and the four things that make it a system

A list of assets in a spreadsheet is not a system. A system adds four behaviours: every change is a dated row rather than an edit, so there is a history; a count can be recorded against the lines and the register lists what was not found; the depreciation on the capitalised lines runs each period from the line's own inputs; and the register prints its reports, the schedule, the inventory, the by-fund and by-location views, for any date. The free worksheets on this site perform the arithmetic behind the third of those for one line, one estate and one discovery pass.

What the system keeps on each line

A unique number carried by the tag, a description and class, the serial number, the acquisition date and cost, the holder and the location, the status, and for capitalised lines the salvage value, the useful life, the method and the depreciation to date. For devices, the warranty end date and the seats counted against the holder. ISO/IEC 19770-1 describes an IT asset management system as a management system in the standards sense; a small organisation borrows the shape, a register, defined records and a way to check them, without the certification.

What it is for: the questions it answers on the day they arrive

What do we own and what is it worth, for the accounts and the insurer. Who has it and where is it, for the count and the leaver. What is out of warranty and what renews next quarter, for the budget. What did we buy and dispose of this year, for the auditor. What is on the network that we have not filed, for the security questionnaire; CISA's cross-sector performance goals put an asset inventory first among the goals for exactly that reason. A system is the register that answers those from its own rows.

Where the other two meanings begin

Enterprise asset management adds work orders, preventive schedules, condition monitoring and spares to plant assets, and is bought by a maintenance function; ISO 55000 is its vocabulary. Investment asset management runs money, and its systems are portfolio platforms. Neither is what a small organisation keeping the register of its laptops, furniture and machines needs, and a product built for either will ask the register keeper for data they do not have.

Questions people ask about what is an asset management system

What is an asset management system in one sentence?

For a small organisation, the register of everything it owns, kept with a holder, a location, a history, a count against it and the depreciation run each period, printing its reports for any date.

Is an asset management system the same as enterprise asset management?

No. Enterprise asset management manages plant through maintenance, with work orders and condition data. The small organisation's system manages the register of what it owns. Different buyers, different products.

Do I need an asset management system or a spreadsheet?

A spreadsheet holds the list. A system holds the history, the count results and the running depreciation, and prints the reports. Once the spreadsheet has lost a holder or been rebuilt in January, the system has earned its place.

What does an asset management system cost for a small organisation?

On this site, Depreo Pro is $49 a month for the whole organisation, with the worksheets free. Other products price per asset or per user; the honest comparison is against the register you keep today.
